Programme Coordinator (12 Months Maternity Cover)

Job Summary

Axis Ballymun are seeking to recruit a full time Programme Coordinator on a 12 month fixed-term contract.

The Programme Coordinator will work closely with the Axis Director/CEO to co-ordinate and deliver Axis’ Artistic programme, developed by the Director/CEO and Programme Manager, including arts engagement, theatre and gallery programming. Programming will align with Axis’ vision and ambition as an arts and community resource centre.

The role may require flexibility in working hours (evenings and weekends) on occasion. The role will report to the Axis Director/CEO and will liaise regularly with other departments including Marketing, Tech Department, Box Office and the event staff.

 

Responsibilities

The Programme Coordinator’s duties and responsibilities will include, but are not limited to the following:

  • Coordinating Axis’ incoming Theatre Programme as agreed with the Director/CEO, ensuring that all programme administration has been agreed and received with incoming companies and artists and that programming information is swiftly shared internally with the Axis Tech and Box Office Teams.

  • Coordinating incoming Gallery exhibitions as agreed with Director/CEO ensuring get-in / out dates are agreed, incoming work is documented correctly and that event launches are scheduled accordingly.

  • Liaising with the Axis Marketing Manager to ensure that audience goals are set, linking incoming companies /artists with appropriate Axis Staff on all events.

  • Coordinating the Axis Events diary and keeping it up to date.

  • Working with the Sales and Marketing Manager on theatre space rentals.

  • Working closely with the Director/CEO on the Arts Programme Budget, settlements and other financial work as needed.

  • Coordinating the Axis Artist Supports including Assemble, Playground and As Gaeilge.

  • The role may also require occasional audience development initiatives for community or local events and projects in Axis.

  • Work with axis in developing Ballymun-wide partnership initiatives such as the Otherworld Festivals

  • Perform a range of administrative, marketing and office management duties associated with the role.

  • Represent Axis at meetings, conferences and seminars as and when requested.

  • Carry out any other duties commensurate with the post.

 

Essential skills and experience:

  • An enthusiasm and understanding for and of the arts sector in particular Theatre and Visual Arts.

  • At least two years’ experience in a similar role, including project or programme coordination and audience engagement experience.

  • Excellent communication skills and the ability to lead and collaborate effectively with colleagues, artists, other internal teams and external stakeholders.

  • This ideal candidate would have strong interpersonal, administrative, digital and organisational skills with an understanding of and passion for arts practice.

  • The candidate must have the ability to work independently and as part of a team. This role will require the co-ordinator to be self-starting, self-motivating and hard working. Evidence will be sought of these qualities in previous jobs the applicant has held.

  • Experience of budgeting and financial management.

  • A degree of flexibility, as the post requires attendance at performances and events outside of normal hours.

  • An understanding of Child Protection Policies and Children First – training will be provided

 

Desirable skills and experience:

  • Previous experience in developing audience and attendance specifically for arts events.

  • Previous experience in coordinating multi-strand arts programming.

  • Previous event management experience.

  • A passion for creativity, performance and the arts.

Person Specification:

The ideal candidate:

  • Can communicate with charm, clarity and consistency in order to build participation and relationships in and for Axis, its programmes and projects.

  • Has an affinity with the vision, mission and values of Axis and passion for our work.

  • Has excellent IT skills; especially in the area of maintaining databases and contact lists.

  • Has enthusiasm, flexibility, excellent interpersonal skills, with an ability to work independently and as part of a team.

  • Has the ability to work under pressure and to coinciding deadlines.

  • Possesses integrity and demonstrates discretion.

  • Has a natural capacity to develop relationships, is a confident communicator in formal and informal settings.

Work terms and conditions

The role is full-time 37.5 hours a week. A work schedule can be agreed with the candidate but expectation would be to work Monday - Friday including occasional weekend and evening work.  The post holder must be willing and able to work outside normal office hours. A time in lieu system is in operation; therefore no payment will be provided for excess hours. Flexi-hours are in place between the hours of 8am and 6pm.

The post holder may occasionally be required to travel in order to fulfil their duties.

In addition to Statutory Public Holidays, the post holder shall be entitled to 20 days Annual Leave plus courtesy days over Christmas.

Pension: PRSA payments can be made via payroll at your request.

Salary is €34,000 per annum

Role is subject to funding. Fixed-term Maternity Leave Cover.

 Axis is core funded by Dublin City Council with additional programme and service support from The Arts Council, Foras na Gaeilge, Pobal, HSE and a range of project partners.
